Job Summary:
As a Destination Wedding Planner, you will be responsible for organizing and coordinating all aspects of destination weddings, ensuring a seamless and memorable experience for clients. You will work closely with clients, vendors, and team members to plan, implement, and execute destination weddings in line with the clients' vision and preferences.
Key Responsibilities:
1. Collaborate with clients to understand their wedding vision, preferences, and budget constraints.
2. Research and select suitable destinations, venues, and vendors based on client requirements.
3. Coordinate and manage all aspects of destination wedding planning, including but not limited to:
- Developing wedding timelines and detailed itineraries
- Arranging travel and accommodation for clients and guests
- Coordinating transportation logistics
- Assisting with legal documentation and requirements for destination weddings
- Organizing pre-wedding activities and excursions
- Liaising with vendors (e.g., photographers, florists, caterers, musicians) to ensure services are booked and delivered as per client expectations
- Overseeing event setup, decor, and design
- Supervising event execution and troubleshooting any issues that may arise
4. Provide exceptional customer service by promptly responding to client inquiries, concerns, and requests throughout the planning process.
5. Maintain detailed records, contracts, and budgets related to each destination wedding.
6. Stay up-to-date with industry trends, destination knowledge, and local regulations to provide the best recommendations and advice to clients.
7. Collaborate with the marketing team to develop promotional materials and packages to attract potential clients interested in destination weddings.
8. Participate in networking events, trade shows, and industry conferences to build professional relationships and expand the business network.
9. Adhere to company policies, procedures, and ethical standards at all times.
10. Other duties and responsibilities as assigned by the Event Planning Manager.
Required Skills and Qualifications:
1. Bachelor's degree in Hospitality Management, Event Planning, or a related field.
2. Proven experience (2+ years) as a Destination Wedding Planner or in a similar role within the hospitality and tourism industry.
3. In-depth knowledge of destination wedding planning, including venue selection, vendor management, travel arrangements, and legal requirements.
4. Strong organizational skills with the ability to multitask and prioritize effectively.
5. Exceptional attention to detail and a commitment to delivering high-quality results.
6. Excellent communication and interpersonal skills to build rapport with clients, vendors, and team members.
7. Proficient in using event management software or related tools to streamline planning processes.
8. Ability to work independently and as part of a team in a fast-paced environment.
9. Flexibility to work irregular hours, including evenings and weekends, to accommodate client needs.
10. A passion for hospitality, creativity, and a customer-centric approach.
11. Valid driver's license and willingness to travel as required for site visits and wedding coordination.
